Definitions kept intentionally short. Refer back whenever a word feels unclear.

These definitions are written for practical CRM building. Some platform labels may change over time, but the concepts stay useful.

CRM Foundations

Contact
A person or company record in the CRM.
Contact record
The main profile where a contact's details, messages, tags, fields, tasks, and activity history are stored.
Company
A business or organization connected to one or more contacts.
Opportunity
A specific deal, request, job, appointment path, or sales process attached to a contact.
CRM
A system used to manage contacts, opportunities, communication, follow-up, and reporting.
Build-Before-Automate Method
The training method used on this site: plan the CRM structure first, then build automation after the process is clear.
Operating path
The planned route a lead or contact follows through the CRM from entry to outcome.

Pipelines and Sales Process

Pipeline
Week 1
A named process made of ordered stages.
Stage
Week 1
One step in a pipeline that reflects real business movement.
Opportunity stage
Week 1
The current position of an opportunity inside a pipeline.
Entry condition
Week 1
The rule that explains when an opportunity should enter a stage.
Exit condition

The rule that explains when an opportunity should leave a stage.
Won
Week 1
A final opportunity outcome meaning the business goal was reached, such as a sale, signed agreement, or approved client.
Lost / Not a Fit

A final opportunity outcome meaning the opportunity is not moving forward.
Follow-Up Later

A holding stage or status for a valid opportunity that is not ready now but should be reviewed again.
Pipeline movement

The process of moving an opportunity from one stage to another, either manually or through automation.

Tags, Fields, and Data

Tag

Source tag

Solo calendar

Opt-in

Reporting and Cleanup

Dashboard
A reporting view that shows selected metrics, activity, or performance information.
Report
A view or summary that helps the business understand CRM activity and outcomes.
Lead source
The place, campaign, form, channel, or asset that produced a lead.
Conversion
A desired action, such as a form submission, booking, signed document, purchase, or won opportunity.
Audit
A structured review of CRM assets, data, workflows, campaigns, reports, and cleanup needs.
Archive
To keep an old asset out of active use without necessarily deleting it.
Cleanup
Week 6
The process of reducing clutter, removing duplicates, fixing errors, and improving CRM reliability.
Import batch
Week 6
A group of contacts uploaded together and tracked with a shared tag or source value.
Source reporting
Reporting that shows where leads, bookings, opportunities, or clients came from.

Agency and Account Structure

Agency view
The top-level view that manages multiple subaccounts.
Subaccount
A tenant or location inside an agency account that holds one business's data, users, settings, and assets.
Location
Another common term for a subaccount or business workspace.
Snapshot
A saved configuration that can be applied to another subaccount.
User
A person with access to the CRM.
Permission
A setting that controls what a user can view, edit, or manage.
Owner
The user responsible for a contact, opportunity, conversation, task, calendar, workflow, or process.
SaaS mode
A platform or agency configuration used to package and manage CRM access for clients, where applicable.
